Let me tell you about a project for a small hostel in Burgas: a booking site plus a separate luggage storage system with remote lock control. The goal is simple: guests arrive and leave when it suits them, and the owner doesn't have to meet everyone in person.
The task. The hostel is small: three rooms that can be booked separately or the whole hostel at once. Guests arrive very early or very late, and check out long before their flight. Meeting each one with keys is inconvenient for the owner and the guest alike. And there is one more common problem: after checkout there is nowhere to leave luggage.
Booking without overlaps. The guest picks dates and a room right on the site. If the whole hostel is booked, the individual rooms close, and the other way round, so double bookings cannot happen. A request holds the dates for 48 hours, the owner confirms it in the admin panel and instantly gets a Telegram notification. Calendars from outside platforms are pulled in every half hour, so a booking there blocks the dates on the site too.
A personal booking page. After confirmation the guest gets a link to their own page with check-in instructions. The link carries a personal token, so nobody can open someone else's booking. The site runs in six languages, picked from the guest's browser.
Check-in without a meeting. Electronic locks instead of keys and self check-in at any hour: the guest doesn't call, doesn't wait and doesn't worry about losing a key. For the owner that means fewer late-night calls and no lost key sets.
A luggage box. A separate service for people who have already checked out or haven't checked in yet. The guest picks a locker and a number of hours, pays, gets a code in a Telegram bot and enters it on the site, and the locker opens. The code works for the whole paid period, so the locker can be opened several times. Time can be extended in a minute on the same code, and if the guest closes the page they can come back through the link in the bot's message.
Remote lock control. The locks on the boxes work over Wi-Fi and are managed through the manufacturer's cloud, so the site sends the open command through the official API and staff don't have to be nearby. There was one curious snag: at first the command returned "not supported for this lock". It turned out every lock has its own remote-unlock switch in its settings, and it has to be turned on for each locker. After that the lock opened straight from the site.
How I got there. First I debugged the whole customer path on trial orders, and the admin got a message to open the locker by hand. That let me test the scenario end to end, including extending time and returning to the page, and then I replaced the manual step with the real command.
What the owner sees. The admin panel holds bookings, prices and rules, photos and lockers, and every guest action sends a Telegram notification. A locker is not released automatically after use: the owner first checks that it is empty and presses "release", so an occupied one is never handed out.
What is next. Emails to guests and a direct link to booking platforms instead of calendars.
The result. The guest goes from booking to luggage with no keys, calls or meetings, and the owner runs everything from one admin panel and Telegram. If you need a similar system for a hostel, a guesthouse or a storage room, let's work out the task: kovalev.trade/websites
